Who this is for
This is a task for unit leaders. In ScoutTrax, BSA registration is leader-controlled — a member can't grant themselves access by typing in their own numbers. A leader records each member's BSA Member ID and Safeguarding Youth Training date, which then unlocks the right level of access for that member. See roster-access-and-registration for why access works this way.
What you'll need
- The member's BSA Member ID.
- For adults, their most recent Safeguarding Youth Training completion date (see safeguarding-youth-training). Youth members don't take this training.
Steps
- Open Roster and select the member.
- Open the member's Scouting information for editing.
- Enter the BSA Member ID. For an adult, also enter the Safeguarding Youth Training date.
- Save.
The member's access updates on their next screen — an adult with a valid Member ID and current training becomes a registered member; a youth becomes registered with their Member ID.
How to read the status labels
On the roster, each member shows a small registration label so you can see at a glance who still needs attention:
- Unregistered — no BSA Member ID on file. This member can't see the wider roster yet.
- Not recorded — an adult has a Member ID but no Safeguarding Youth Training date. They have access for now, with a reminder to add the date.
- Expiring soon — the adult's training is within 30 days of its yearly renewal.
- Expired — the adult's training is more than 12 months old, so their wider access has paused until it's renewed.
If you're the person who set up the unit
The account that creates a unit becomes its administrator. Because administrators can see everything, they're held to the same registration standard as any other adult. If you set up your unit without entering your BSA Member ID, ScoutTrax shows a Complete registration banner at the top of the app — use it to add your own Member ID and training date, since you may not have another leader to do it for you.
