The short version
To protect youth, ScoutTrax shows your unit's full roster only to registered members of the unit. If you just created or joined a unit and can't see everyone yet, it's almost always because your BSA registration hasn't been recorded in ScoutTrax.
Once your registration is on file, the full roster appears automatically — no waiting, no support ticket.
What "registered" means
ScoutTrax follows Scouting America's youth-protection standards. An adult counts as registered when two things are recorded:
- A BSA Member ID, and
- A current Safeguarding Youth Training date (this training is renewed every year — see safeguarding-youth-training).
Youth members count as registered once their BSA Member ID is on file. Parents and guardians are a special case — see what-parents-can-see.
Why ScoutTrax works this way
A roster includes other families' contact details and youth information. Sharing it only with registered, background-checked members keeps that information with the people Scouting America has already vetted. It's the same principle behind Youth Protection Training: access follows registration.
This isn't a setting a unit can switch off. It's built in.
What you can still do while you wait
Being unregistered doesn't lock you out of ScoutTrax:
- Parents and guardians can always see and manage their own children, even with no registration on file.
- You can still sign in, update your own profile, and use the parts of the app that don't involve other families' data.
You just won't see the wider roster until your registration is recorded.
How to get full access
If you're a member of a unit, ask your unit's Key 3 (Committee Chair, Chartered Organization Representative, and unit leader) or another leader to add your BSA Member ID and Safeguarding Youth Training date. Leaders do this from the roster — see recording-bsa-registration.
If you created the unit and set up your account without entering your BSA Member ID, ScoutTrax shows a banner at the top of the app with a Complete registration button. Enter your BSA Member ID and Safeguarding Youth Training date there, and your access updates right away.
